89up needs a part-time Finance Officer to help with our award-winning work.
Our Advocacy, Insights and Mobilisation team delivers data-driven insights for impactful strategies to mobilise audiences; our Labs team builds innovative websites and bespoke advocacy tools to engage consumers and decision-makers; our Studio team crafts beautiful content from podcasts to animations; and our PR team makes sure our campaigns make the headlines. 

From freeing political prisoners to taking on the banks who fund the climate crisis, to EU campaigns against fossil fuels and PR campaigns for many of the UK’s biggest charities, to global challenges that excite people the world over, there is genuinely never a dry moment at 89up. 
We put a huge emphasis on training and promotions - with promotion and pay reviews twice a year. In 2022 to help combat the impact of inflation we gave a baseline pay increase of 10% across the board with bonuses and promotions on top.

THE ROLE

We are looking for a part-time Bookkeeper and Office Manager to assist with the company's finances - especially at key billing, payments and invoicing moments each month - and assist with the day to day running of our office. You will support our CEO and Head of People and Operations.

The Role will work in the 89up office for either 16 or 24 hours a week. All 89up staff attend our central London office on Tuesdays, Wednesdays and Thursdays. Given that this is an office manager position, there is no scope for remote working.

The successful applicant will have experience of accounting or bookkeeping for a UK-based company. 89up’s headquarters is in London but the majority of our clients operate globally.

KEY RESPONSIBILITIES REQUIRED

Finance:

  • Maintaining our financial database software Freeagent
  • Inputting all supplier invoices and raising client invoices 
  • Overseeing and setting up payments to suppliers
  • Generating client invoices based on client contracts
  • Managing debtors
  • Ensuring cash flow is at the optimal level
  • Negotiating rates with suppliers
  • Overseeing payroll for the company - responsible for the monthly payroll of 46 employees
  • Pension submission monthly
  • Bank reconciliations - overall responsibility for numerous bank accounts
  • Managing the CEO’s credit cards and expenses
  • Ad hoc tasks requested by the CEO and Head of People and Operations

Office Management:

  • Diary management for our CEO
  • Assisting the team with booking travel and accommodation
  • Organising events with our culture club team
  • Working on continual improvements to the way we operate as a business: identifying new opportunities for efficiencies and to improve our business processes and systems
  • Overseeing the day-to-day operations of the office - ensure the office functions and is high specification for our team and clients 
  • Ordering office supplies, and ensuring that any faulty IT equipment is replaced
  • Taking responsibility for the asset register

KEY SKILLS REQUIRED

  • Minimum of 2 years experience 
  • Qualified, part qualified or qualified by experience
  • Good eye for detail
  • Good concentration
  • Self starter, able to work under their own initiative, manage time productively, communicate effectively with clients
  • Proficiency in using Google sheets and pivot tables
